Helping in anyway helps a huge amount! We ask people to contribute by donating:

Time - organisation, setting up, on the day slots, packing away

Donations of tombola, baking, raffle contributions

Spreading the word - promoting the fair for greater footfall
Important info
- You are welcome to bring your child/ren with you to help but obviously you are responsible for them while onsite
- Feel free to wear festive costume – all adds to the fun – but not mandatory
- Hi vis jackets are available for those helping in the car park but if you have your own, please bring it as it’s likely to be a better fit.
- Volunteers may park onsite at BWS while helping but please don’t stay beyond your finish time unless you are visiting the Fair. NS – Gates will be locked after we finish regardless of any cars onsite!

What does volunteering entail?
Feel free to book for more than one activity, especially if you are helping all day. For example, 2 hours on car park
duty, 2 hours selling raffle tickets
SETTING UP - Friday 21 November 4 – 7 pm
We need the following number of volunteers to help with setting up - the more the merrier and quicker we get done.
If you could say how long you are available between 4 – 7 pm (ideally with a minimum of at least 2 hours)
- 8 people - moving/setting up tables and decorations
- 4 people - labeling tombola items
- 1 or 2 people - transferring cakes/decorations from SWGS site to BWS Sports hall
- 2 people - moving café items from dining hall and setting up cafe
THE DAY OF THE FAIR - Saturday 22 November
8:30 - 10:00 - Setting up
- 4 people - Helping stallholders check-in and set up in the Sports’ Hall
- 4 people - Directing visitors/manage car parking at Main entrance
- 2 people – Front desk welcome
- 4 people – set up cafe
10:00 - 14:00 - During the Fair (or for 2 hour shifts within that eg 10:00 - 12:00; 12:00 - 14:00)
- 2 people – Front desk - meet and greet, log attendees
-2 people – Raffle ticket sales
-2 people - Directing visitors/manage car parking at Main entrance (Hi vis jacket provided or bring your own)
-4 people - Serving in Cafe
- 1 person - Running children’s tombola
- 2 people – helping on book stall
- 2 people – Running BWS/SWGS stall (probably human fruit machine)
14:00 - 15:00 - Clear up
- 4 people - Take down cafe; wash up cups
- 8 people - Fold up and store tables/Sweep floor and remove rubbish
- 2 people - Remove signs at entrances and decorations within Sports Hall
- 2 people - Take recycling home
Bake or Donate....


The collaborative Grammar Christmas fair between SWGS and BWS is one of the biggest events on our school calendar supporting our community, local businesses, charities and our student community. This year we have a record 58 stallholders, including our student entrepreneurs, and entertainment from both school music departments. It is a fabulous festive event enjoyed by all.
This event is going to be bigger and busier than last year so we’d also really like your help with some items:
How can you help?
TOMBOLA CONTRIBUTIONS - Bottle donations for our Adult Tombola - IMPORTANT: Any donations of bottles of alcohol, or alcohol-related gifts, must be handed to an adult on reception by an adult (and not handed in by a student). Alcohol-related gifts will be locked in a cupboard ready for collection by the Grammar Christmas Fair Team. Chocolate or sweet donations for our Childrens’ Tombola. Donations to be delivered to either school reception w/c 17th November.
BAKING DONATIONS FOR THE CAFÉ - CALLING ALL BAKERS!... We need your delicious homemade treats to make this year's café/cake stall the biggest and best yet! Dig out your favourite recipes, sweet or savoury. Anything that can be eaten cold (unfortunately we won't have facility to reheat). Your bakes don't have to be Xmas themed but feel free to let you creative juices flow! Please drop off your home baked items at either SWGS or BWS reception on Thursday 20th or Friday 21st November
NB: must be before 3 pm on Friday for SWGS or 4.30pm for BWS.
